Adaptive Cadence: on-prem SOP software

Your best people carry the how-to knowledge in their heads, and it walks out the door with every departure. Adaptive Cadence captures it. Record a task once and it writes the SOP for you, with screenshots and the voiceover transcribed. And because the AI runs where your data lives, screen recordings of your internal systems never leave your network.

On-prem or hosted SSO + IP whitelisting Zero egress

What Adaptive Cadence does

Adaptive Cadence turns tribal knowledge into documented, searchable SOPs. Record a workflow once and it drafts a step-by-step guide with per-step screenshots and the spoken narration transcribed into the document. The original recording is kept for review. It is a self-hosted alternative to Whale and Scribe, built for teams that cannot ship recordings of sensitive systems to someone else's cloud.

Capture to SOP, automatically

  • Screen-record a task and get a numbered, step-by-step guide with screenshots
  • Voiceover transcribed into the document with local speech-to-text, zero egress
  • The original recording is retained so employees can watch the real thing
  • Import your existing PDFs and Word documents into the same library

Training and coaching built in

  • Auto-drafted quizzes turn any SOP into a training check
  • A manager coaching dashboard shows who has completed what, for onboarding and software rollouts
  • Assign SOPs and training by role or department

A department knowledge hub

  • Segmented by department with role-based access, so people see what they should
  • Searchable, so answers are found instead of re-asked
  • Living documentation your team keeps current as the work changes

Two ways to deploy, both locked down

Run Adaptive Cadence on hardware you own and control, or on infrastructure we provide and manage for you. Either way it is hardened to your organization, so it behaves like a private deployment rather than a shared cloud app.

Locked down by default

  • Single sign-on (SSO) so access follows your existing identity provider and offboarding
  • IP whitelisting so the application is only reachable from inside your organization's infrastructure
  • Belt and suspenders: identity plus network controls together, so there is no path in from outside your network
  • The AI models run locally, so recordings and documents are never sent to a third-party service

Why on-prem matters for regulated teams

A bank, an insurer, or a clinic cannot record a screen full of account numbers or patient data and send it to a documentation vendor's cloud. That is exactly what the SaaS-only tools ask you to do. Adaptive Cadence runs the capture and the AI inside your walls, so there is nothing to redact for a third party because the third party never receives it. When you do need to share externally, redaction is still available on your terms.

A self-hosted alternative to Scribe and Whale

Scribe and Whale are capable products, but both are cloud-only and both charge extra for the parts regulated teams need most. Whale meters its AI as usage credits. Scribe puts automatic PII and PHI redaction, single sign-on, and IP controls behind its Enterprise tier. Adaptive Cadence takes a different position:

  • Runs on-premise or air-gapped, not just in a vendor cloud
  • Local AI with no metered per-use fees
  • PII and PHI redaction available without an enterprise upcharge
  • SSO and IP whitelisting as part of how it ships, not a paywalled add-on

Who it is for

Adaptive Cadence fits teams that need their process knowledge documented and their data kept inside their own perimeter.

  • Regulated organizations in finance, insurance, healthcare, and the public sector that cannot use SaaS-only capture tools
  • Operations, IT, and support teams onboarding staff or rolling out new software
  • Any organization tired of losing critical know-how when experienced people leave

What you can expect

We scope the deployment to your environment and quote it directly, rather than pushing you onto a fixed public plan.

Honest scoping first. We start by understanding your environment, your compliance needs, and how many people will author versus consume SOPs, then recommend on-premise or hosted based on what actually fits.

Deploy where your data lives. On your hardware or on infrastructure we provide, locked down with SSO and IP whitelisting so nothing is reachable from outside your network.

Documentation your team will actually use. Implementation, training, and a searchable hub so the SOPs get created, found, and kept current instead of rotting in a shared drive.

Frequently asked questions

Can I run Adaptive Cadence on my own hardware?

Yes. Adaptive Cadence installs on hardware you own and control, inside your own network or fully air-gapped, with unlimited internal users and no per-seat metering. We handle implementation and hand your team a system they run. If you prefer not to manage the hardware, we can host and manage it for you and still lock it down to your organization.

Do our screen recordings or documents ever leave our network?

No. The AI models run locally where your data lives, so recordings, screenshots, and documents are never sent to a third-party service. There is nothing to redact for an outside vendor because no outside vendor receives it.

How is access locked down?

With identity and network controls together: single sign-on (SSO) so access follows your identity provider and your offboarding, plus IP whitelisting so the application is only reachable from inside your organization's infrastructure. That belt-and-suspenders approach means there is no path in from outside your network.

How is this different from Scribe or Whale?

Both Scribe and Whale are cloud-only and ask you to send recordings to their cloud, and both charge extra for the parts regulated teams need most (Whale meters AI as credits; Scribe gates PII and PHI redaction, SSO, and IP controls behind Enterprise). Adaptive Cadence runs on-premise or air-gapped, uses local AI with no metered fees, and includes redaction, SSO, and IP whitelisting as part of how it ships.

Do I need Adaptive Reservoir to use Cadence?

No. SOP search runs locally within Adaptive Cadence without it. Adaptive Reservoir is an optional add-on if you want AI search across all of your repositories, not just your SOPs.
